We have an exciting opportunity for an experienced Administration Assistant to support the office of the Director of Nursing of a hospital on the South Side of Dublin

Role Details:
Hours of work per week: 39
Working: On-Site
Job Location: Dublin South
Contract Type: 2-year fixed-term contract, Full-time
Reports to: Director of Nursing

Key responsibilities include:

Producing organisational reports and analytics for nurse management and regulatory purposes in an accurate and timely manner.
Diary management, organising and planning meetings and events as required.
Managing workforce planning and rostering of Nursing and Healthcare staff.
Establishing, implementing and reviewing of systems.
Completing projects and other administrative duties assigned by the Director of Nursing and/or designee.
Preparing meeting minutes and correspondence as required.
Updating and maintaining organisational information systems.
Implementing and maintaining an efficient and effective filing system.
Maintaining accurate and up-to-date records and databases.
Providing relief reception cover as required.
Co-operating fully in the implementation and review of policies and procedures as required.
Operating within data protection requirements and the legislative, regulatory, and policy framework that governs the organisation.
Complying with the organisation's safety statement.
Fostering and sustaining the organisation's ethos, philosophy, culture, and values.

Qualifications & Experience Requirements:

The successful candidate will hold a recognized and relevant third-level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI) and a minimum of 3 years post-qualification administrative experience.

Experience will include:
Proven administration experience working in a hospital/healthcare or similar setting.
Workforce Planning and Rostering experience.
Excellent verbal and written communication skills.
Excellent time, task, and diary management experience.
Strong knowledge of data protection practices, policies, and procedures.
Proven experience in building effective relationships with internal and external stakeholders.
Proven ability to work operationally and strategically.
Ability to multitask, prioritize and work on own initiative.
Strong presentation skills and IT proficiency.
Ability to work in a busy office environment, exercising high professional discretion and confidentiality standards.
